General rules and evaluation criterias 2025
ADMISSION REQUIREMENTS
1- In categories reserved for Quebec producers, projects must be produced by Quebec-based companies. Co-productions with a company outside Quebec are accepted. Projects by Quebec producers cannot be submitted in the international categories. Finalist projects by Quebec producers will be submitted directly into the international competition in the corresponding international category, if applicable.
2 – Projects by companies based outside Quebec must be directly submitted in one of the categories open to international producers. They cannot be submitted in categories reserved for Quebec producers.
3 – A project may be submitted in only one (1) category.
4 – The same project cannot be submitted for two (2) consecutive years in the NUMIX AWARDS competition, unless it is for another season (in the case of a web series or a podcast) or the project has been substantially modified.

5 – The applicants must submit their projects by using the registration form available on the website numix.ca.
6 – The applicant must also ensure payment of the registration fees upon receipt of the invoice. Your submission will be ineligible if your entry is incomplete or the fees are unpaid. The NUMIX AWARDS competition reserves the right to reject any late or incomplete submission.
7 – The form can be started and completed within 30 days of its creation. A personalized link (URL) is provided upon registration.
8 – Submissions for the 2025 competition will be accepted over a five (5) week period, from Tuesday, January 8, to Wednesday, February 12, 2025.

The pre-registration discount cannot be combined with any other promotional offer and will only be valid during the early bird and regular registration periods (January 8 to February 4, 2025). It will no longer apply once the last-minute rate opens.

This project submission fee does not include any tickets for attending the NUMIX AWARDS gala. Tickets for the gala will go on sale once the finalists are announced.

[CANCELLATION]
11 – Registration fees are in Canadian dollars (CAD) per project and are non-refundable. The NUMIX AWARDS competition reserves the right to disqualify any application if eligibility requirements are not met, with no refunds provided. Please contact our team at concours@numix.ca for more information on each category, and to determine the most appropriate category for your project.
[CATEGORY]
12 – In each edition, the categories are reviewed following consultations with the ambassador organizations and the NUMIX AWARDS advisory committee.
13 – Xn Québec may cancel the award for a given category if the number of projects received is insufficient to hold the competition.
[PROJECT ACCESS]
14 – Projects submitted must have been accessible to the general public between January 1, 2024, and the closing date for entries to the NUMIX AWARDS 2025 competition, i.e., February 12, 2025, at 5:00 PM EST.
15 – Any project submitted as a “work-in-progress” must be completed before the juries begin their evaluation, i.e., by the closing date of the registration period, February 12, 2025.
16 – If access to the project is likely to be restricted based on geolocation, you must provide a private link to allow the juries to view your project.
17 – VIDEO GAME: The applicant must provide eight (8) access codes to access the game free of charge, allowing the jury to evaluate the game if access to the project is behind a paywall. The NUMIX AWARDS competition reserves the right to request additional access codes for other platforms or consoles if necessary for proper evaluation by the jury.
ATTENTION: Demos and early versions are NOT accepted. Games that will receive updates and additional contents are eligible, but the jury must have access to a final, commercially available version of the game.
18 – WEBSERIE AND PODCAST: If submitting a series, you must identify three (3) episodes for evaluation by the jury and list them in order of viewing priority.
19 – XR: If applicable, in order for the jury to evaluate the project, the applicant must provide eight (8) access codes for free access to the project or a downloadable build version of the project, if access to the project is subject to a fee. The NUMIX AWARDS competition reserves the right to request additional access codes if necessary for proper evaluation by the jury.
[MATERIAL TO BE SUPPLIED]
20 – Projects must be accessible online, via an URL or link to a cloud service site (e.g., Google Drive, OneDrive, Amazon S3, Dropbox, etc.).
21 – For projects that cannot be experienced online (e.g. urban or museum installations, immersive experiences in a performance hall, etc.), it is the responsibility of the producer to provide adequate material to allow the jury to experience the project. At the very least, a video presentation is required.
22 – The NUMIX AWARDS competition disclaims any responsibility for issues related to the improper receipt or non-receipt of materials within the specified deadlines, regardless of the reason.
[COPYRIGHTS]
23 – The applicant of the project is the producer, or has the authorization from the producer to submit the project.
24 – Copyright declaration: The applicant affirms that they have obtained all necessary authorizations for the components and subjects of the project entered into the NUMIX AWARDS competition, as well as the intellectual property rights associated with it. The NUMIX AWARDS competition cannot be held responsible for the inclusion of copyrighted material in a submission and reserves the right to disqualify any project that uses copyrighted material without authorization.
[LANGUAGE]
25 – Projects submitted must be in English or French, or translated into either of these languages.
[JURY]
26 – The jury reserves the right to refuse or transfer a project to another category if the choice of category does not correspond to the project submitted.
27 – If the jury considers that the material provided is not sufficient to evaluate the project, this may be grounds for disqualification of the submission.
28 – If the number of projects submitted is insufficient in one of the competition categories, or if the projects submitted do not comply with the minimum criteria set, the members of the jury reserve the right to :
- not select the minimum of three (3) finalists in the category ;
- move said projects to another category.
29 – All juries are subject to a code of ethics and must sign a confidentiality agreement.
[CREDITS AND TROPHY]
30 – The NUMIX AWARDS applicant must enter all credits for each piece submitted. They must indicate, if applicable, the name(s) of the service provider(s) who participated in the realization of the project. Xn Québec, the producers of Québec’s digital creativity and the organization of the NUMIX AWARDS competition are not responsible for the omission of the name or a spelling error on a name of an individual or company on a winning entry.
[RESPONSIBILITIES]
31 – The applicant for each project agrees that the decisions of the jury are final and without appeal.
32 – The applicant authorizes Xn Québec and the organization of the NUMIX AWARDS competition to use the material submitted in any publication promoting the competition, as part of a journalistic report or in any other publication or broadcast medium.
33 – It is the responsibility of the applicant to ensure that all information entered in the submission form is accurate and to provide the NUMIX AWARDS competition with updated contacts for correspondence.
[EVENT MODIFICATION AND CANCELLATION]
34 – Xn Québec reserves the right to modify the date, adjust the format, or cancel the competition, the announcement of the finalists, and the awards ceremony, should exceptional circumstances or circumstances beyond its control require it, in order to ensure the safety of participants, the team, partners, and the public, as well as the smooth running of the competition, the finalist announcement, and the awards ceremony.
35 – Under the circumstances described above, no compensation will be provided to applicants.
[GENERAL STIPULATIONS]
36 – The submission of a project in the NUMIX AWARDS competition implies acceptance of these rules by the applicant.
37 – Xn Québec and the organization of the NUMIX AWARDS competition reserve the right to settle any situation not covered by these rules on a case-by-case basis.
EVALUATION CRITERIA
A rigorous process is used to select the entries. Jury members associated with the various categories receive an evaluation grid, which they fill in individually, awarding points to each production according to a series of pre-established criteria. The members of each jury then meet to determine the finalists and winners.
A NUMIX award is distinguished first and foremost by the originality and quality of the winning production’s content, and by its editorial approach in line with the project’s objectives.
ORIGINALITY OF CONCEPT
The project submitted demonstrates undeniable originality in its vision, mission, approach, editorial line and the point of view it brings to the overall proposal. It has resonance. One or more elements stand out. In the case of an interactive project, for example, the experience becomes exceptional because of an innovative interactive environment.
QUALITY OF ARTISTIC DIRECTION OR PRODUCTION
The project demonstrates undeniable artistic qualities in terms of design, graphics, sets, lighting, costumes and, in the case of a video production, direction and acting.
TECHNOLOGICAL INNOVATION OR TECHNICAL QUALITY
The project makes innovative use of technology, intelligently applying it to the user experience and providing an outstanding user experience.
For web series, websites, etc., the technical quality of the production should be assessed. For example, factors such as the quality of the sound recording, video capture, interactions, or the proper functioning of the project can be taken into account.
DEGREE OF INTERACTIVITY OR ENGAGEMENT
User experience refers to the quality of the experience lived and felt by the user in any interaction situation. User experience captivates and encourages the user to continue reading or to return to the site on a regular basis. It prompts discussion and exchange after the experience. It provokes real engagement on the part of the person to whom it is addressed, whether viewer, listener, player, visitor or user. In the case of an interactive project, it also offers strong mechanisms for the audience to interact with the work.
CONTENT RELEVANCE
Content elements are well chosen to support the concept, discourse and proposition. The editorial approach is clear, effective and serves the project’s objectives very well in terms of the specificities of each category.
USEFULNESS TO SOCIETY
The project provides a relevant response or new insight into a social issue. It achieves this through its form, discourse, content or the intelligent use of technology to get a message across. The proposal as a whole contributes to the enrichment of the common good, to the improvement of living together. It conveys compassion and empathy for a given clientele or cause.
